Privacy notice
How SiteSOS uses the information you give us, and your rights over it. Last updated 16 October 2026.
Who we are
SiteSOS is run by Site SOS Limited, registered in England and Wales, company number 17514268. Our registered office is Suite 8 Hawkesyard Hall, Hawkesyard, Rugeley, WS15 1PU. We decide how your information is used, so we are its controller.
Questions, or to use any of your rights: email privacy@sitesos.co.uk.
What we hold, and why
Engineers. Your name, phone, email and photo. Your home address, date of birth or National Insurance number, and your tax and company details, because HMRC requires them for the people we pay. Your bank details, to pay you. Your right to work, insurance and qualification documents, and your CV, to check you can do the work safely. Your skills and test results, the jobs you take, your timesheets and your pay. We use these to offer you work, pay you, and meet the law.
Feedback on engineers. After each job, the site is asked whether they would have the engineer back and whether the job was sorted, with an optional note. We use it to match sites with engineers they want back, to recognise engineers who do great work, and to spot problems a person in our office should look into. It never decides anything about an engineer by itself.
Your location. While you are on duty with the app open, it shares your location every few minutes so we can offer you the nearest callouts. After you accept a callout, it shares your journey until you arrive on site, so the site knows you are coming. Going off duty clears your last location. Your phone asks your permission first, and you can turn it off.
People at our client sites. Your name, email, phone and role, to run your account, raise and approve jobs, and send invoices.
People who report a fault by scanning a label. Your name, what you saw, any photo you add, and a phone number if you give one, so the engineer can ask you about it.
People who fill in a form on this site. The details you type in, to call you back or tell you when we are live in your area.
Our legal reasons
We use your information to carry out our agreement with you, to meet our legal duties (for example tax records, right-to-work checks and health and safety), and for our legitimate interest in running a safe, reliable service. We share your location and send app alerts only with your permission.
Who sees it
Clients. When you take a job, the site sees your first name and surname initial, your photo, your qualifications for that work and the safety documents you have signed. They never see your pay, your address or your tax details.
Feedback. Only our office and the engineer it is about see a site's feedback. It is never shown to another site. Sites see only a Top engineer badge, given to engineers most sites would have back.
Our staff. Only the people who need it. Identity documents, tax details and pay are limited to the people who check engineers and run payroll, and every time someone opens an identity document it is recorded.
Companies that help us run the service, under contract and only for our purposes:
- Hetzner: our servers, in Germany.
- Resend: sends our emails.
- Google: works out travel times from locations to sites.
- Apple, Google, Microsoft and Mozilla: deliver app alerts to your phone or computer.
- OpenStreetMap and Stadia Maps: show the maps and find places near a site.
- postcodes.io: turns postcodes into map points.
HMRC and other authorities, when the law requires it.
We do not sell your information, and we do not use it for advertising.
How long we keep it
Journey records are deleted after 90 days. Your last location is cleared when you go off duty, or when it is more than two hours old. Sign-in sessions end after 90 days at most.
Feedback on engineers counts for 12 months and is deleted after 2 years.
Payment records are kept for 7 years, because the law requires it. Everything else is kept while you use SiteSOS, and deleted when you ask us to.
Keeping it safe
Everything travels encrypted. National Insurance numbers, bank details, home addresses, dates of birth, tax references and every uploaded document are also encrypted where they are stored. Backups are encrypted and kept in a separate place.
Your rights
Engineers can see every piece of feedback about them in the app, and ask for a person in our office to review any of it. Feedback is never used to stop or reduce anyone's work automatically.
You can ask us for a copy of your information, to correct it, to delete it, or to stop using it for a purpose. When you ask us to delete it, we remove you from the app straight away, and keep only the payment records the law makes us keep, for 7 years. Email privacy@sitesos.co.uk. We reply within one month.
If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
